A Shift Toward Focus

Over the past few months, we’ve made a significant shift in how Subtrak works. The biggest change is one you’ll notice right away. We removed task tracking.

On the surface, that might feel like we took something away. In reality, this change is about focus. As we’ve worked closely with contractors and seen how Subtrak fits into their day-to-day operations, one thing became clear. Most teams already have a system for managing work. Whether it’s JobTread, Buildertrend, Procore, or something else, that part of the workflow is already covered.

What wasn’t covered, at least not in a clear and consistent way, was how the work should actually be done.

We repeatedly heard the same concern. Teams didn’t want to manage work in two different places. They didn’t want another tool where tasks had to be checked off. Adding task tracking inside Subtrak created friction instead of removing it, and ultimately risked becoming something that teams would avoid altogether.

So we made a decision. Instead of trying to be both a task management tool and a documentation platform, we chose to go all in on one thing:

Subtrak is now built to be the best place for contractors to document, organize, and share how their work gets done.

Your Playbook, Clearly Defined

That shift led us to rethink how the product is structured. The most important concept in Subtrak is now your playbook. Your playbook is the complete system that defines how your company operates. It includes your SOPs, your processes, your policies, and your roles. These are no longer separate, disconnected areas. They are all part of a single, cohesive structure that your team can rely on.

A New Home Experience

We also introduced a new Home experience designed to help you move faster. Instead of showing tasks and assignments, the Home page now focuses on helping you create and navigate documentation. You can quickly generate SOPs using AI, jump back into recent work, see what’s been updated across your company, and explore recommended templates tailored to your trade. The goal is simple. Reduce friction and make it easier to build momentum.

From Job Descriptions to Roles

As part of this shift, we renamed Job Descriptions to Roles. This change reflects where we’re headed. Today, roles are still a place to document responsibilities. Over time, they will become much more than that. We’re working toward a system where every person in your company can clearly see how they fit into the organization, what processes they are part of, and how their role connects to the way work gets done.

Removing What Didn’t Add Value

We also removed the Documents tab. It was lightly used and functioned more like a catch-all than a structured part of the system. Rather than adding more places to store information, we’re focused on helping you build a playbook that is organized, intentional, and actually useful to your team.

Projects: Where the Playbook Gets Applied

Projects are still an important part of Subtrak, but their role is now more clearly defined. Projects are where your team applies the playbook. You can bring SOPs and processes into a project and customize them for that specific job without changing your core playbook. This allows you to maintain consistency across your company while still adapting to the unique details of each project. We also added the ability to archive projects so you can keep your workspace clean without losing historical information.

A Simpler, Cleaner Experience

Along the way, we simplified the navigation to make everything easier to find. Projects have been repositioned, and team and admin settings have been moved into a dedicated area to reduce clutter and keep the focus on your playbook.

How Subtrak Fits Alongside Your Existing Tools

This shift does not mean execution no longer matters. It just means Subtrak is no longer trying to replace the tools you already use to manage jobs. Instead, we’re focused on integrating with those tools so your playbook can support execution without creating additional steps for your team.

What This Means for You

At its core, this update is about clarity. Subtrak is now the place where your company’s knowledge lives. It’s where your standards, processes, and expectations are defined so your team can operate consistently without relying on memory or constant explanation.
